Legal Agreements and Reservation Terms on Deskpass

Whether you are a Space Manager or a user, ensuring that everyone is aligned on legal agreements and terms helps create a secure and enjoyable experience for all.

When booking a reservation through Deskpass, it is important for both Space Managers and Users to understand the terms and conditions that apply. Deskpass provides a streamlined way for spaces to upload their legal agreements directly to the platform, ensuring everyone is aware of the rules and policies in place.

Key Information for Space Managers:

  1. Deskpass Manages All Payments and Terms: All payment transactions and terms for reservations made through Deskpass are handled within the platform. 

    🖊️ Team Members or Instant Workspace Users booking through Deskpass are not authorized to sign any agreements directly on behalf of their company.

  2. Upload Your Space's Legal Agreement: As a Space Manager, you have the ability to upload your legal agreement to the "Legal" section of your Deskpass Space Dashboard. By doing so, users will be prompted to review and agree to your terms every time they book a reservation at your space. This creates a clear and consistent experience for everyone.

Key Information for Users:

  1. Agreeing to Space Terms: When booking a space through Deskpass, you may be required to agree to the specific terms and conditions set by the space. If the space has uploaded its legal agreement, you will see additional terms linked in the checkbox during the checkout flow to confirm that you have reviewed and agreed to these terms before completing your booking.

  2. What This Means for You: By checking this box during checkout, you are acknowledging that you understand and will comply with the space’s policies, which may include guidelines on usage of the space, and other important details.

❗ Why This Is Important:

Having clear agreements helps prevent misunderstandings and ensures a smooth experience for both Users and Space Managers. It sets expectations for space usage and protects the interests of everyone involved.

How to Upload or Review a Legal Agreement:

For Space Managers:

  • Log in to your Deskpass Space Dashboard

  • Click Spaces from the left sidebar > select the desired space

  • Click Space Info > Legal section

    • Add your Company Name and Website
    • Link a URL to your Legal Agreement
    • Upload a PDF of your Legal Agreement
  • Select Update 

For Users:

  • Before completing a booking, carefully review any legal agreements or terms presented during the checkout flow. If a space has uploaded its legal terms, you will be required to check an additional box agreeing to those terms. Make sure you understand these terms, and reach out to Deskpass support if you have any questions or concerns.
