What is the Individual and Group Billing Feature?

The Individual and Group Billing Feature for Deskpass allows Teams to add different payment methods for both single users and groups within a single account. This streamlines the payment process and provides flexibility for various organizational structures.

Who can use this feature?

This feature is available to all Deskpass Team accounts with administrative privileges on their account.

How do I activate this feature?

Please reach out to teams@deskpass.com to have these features enabled. 


🔷 Managing Individual Billing

How do I enable individual billing for a specific user?

1. To add a new individual user, navigate to teams.deskpass.com/team-members 
2. Click on the name of the user you’d like to activate individual billing for 

3. Click on “Manage Billing” 

4. Toggle “Individual Billing” from Inactive to Active. 

5. The user will be prompted to add their credit card the next time they go to make a reservation and won’t be able to make one without adding a card.

What payment methods are available for Individual Billing?

Individual Billing must be paid by credit card. The individual’s card is charged for each reservation. 

Can I add a payment method for the user?

No, the credit card must be added by the user themselves when they log in to their account. 

Can certain users be on Individual Billing while others are billed centrally?

Yes, you can turn on Individual Billing for specific users. If it isn’t activated for a specific user, they will continue to be billed centrally to whatever payment method was selected for the team. 


🔷 Managing Group Billing

How do I create a new group?

To create a new group, go to teams.deskpass.com/team-members/groups and click “Create New Group”. You will be able to name your group and add members.

How do I assign users to a group?

Users can be assigned to a group when you create the group, or you can add existing users to a group from the "Groups" section.

How do I turn on Group Billing for a specific group?

1. Click on the Group you’d like to set up Group Billing for.

2. Click on Billing

3. Toggle “Group Billing” from inactive to active

4. Either select “Pay as You Go” and add a credit card to be charged after every reservation or select “Pay at the End of Month” to be sent a monthly invoice.

Can I track group usage and spending?

Yes, detailed usage reports can be downloaded as a CSV file from the "Reservations" section of your dashboard. There is a column for “Group” which allows you to view what each group has booked in a given time period.

Why can't I see the individual or group billing options?

Group billing is only visible once it’s been activated by our team. Please reach out to teams@deskpass.com to activate it.
